Motion carried.Rick introduced Superintendent Tammy Davis. Superintendent Davis said a few words of appreciation for the efforts of the PTO and encourages parents to get involved. Julie Nieder suggested putting an educational corner in the backpack express. Discussed community outreach for donations and cost benefit of those donations. Cindy gave the treasurer’s report. Cash in the bank is $26,912.16. The company for the fall fundraiser has not been paid yet (approx $10,000). Tentatively, November 17th is the date the pies will be delivered to the school so Cindy is considering combining distribution of both fundraisers for that night. Cindy thinks we will have about $8600 profit from the fall fundraiser and $2900 on the pie fundraiser. Judie to do thank you notes for Fall Festival donators and volunteers. We discussed the positive feedback we had received about the festival.Car logo’s - from Steele Barry - choice of 5 ¾, 5, 4 inch circle, 500= $.95, 250= $1.10, 125= $1.40, thinking about 5 inch circle with each school’s logo and the school name. Julie Swain will design the logos for decision at the next meeting.Breakfast with Dad – Union Sanborn was well attended. Most things went smoothly however it would be helpful to have the list of students by teacher then alphabetical. Also 3 copies of the list is needed – 2 for the check in table and 1 for serving. Putting the names of the students that paid that morning on the envelopes with money inside did not work and was too cumbersome for the flow of traffic. Cindy will talk to the kitchen staff about that for next year.Volunteers still needed for next week’s Southwick Breakfast with Dad. Judie will download Groupvine emails to excel for Heidi.Ms Gagnon spoke and explained that she will not be here this year for the book fair and she wanted to know if anyone would like to run the book fair. Everything is ready for distribution right after the holidays. Holiday Fair – scheduled for Thursday, December 1, 2011. The group decided to have a raffle. Rick will try to get things donated. Rick will ask Wal-Mart to donate Nintendo DS and will offer 25 kids ice party at Tilton School.Board will have a meeting in December to firm up February events. Date to be determined.Rich and Julie spoke about Artist in residence. They were able to reduce the length of program and are going to ask for parental help to save money so they will not need more than the original appropriation from PTO. Julie explained that they may need $500 for another artist project with clay – more details to come at the January PTO meeting.Julie Nieder motioned to adjourn, Heidi seconded meeting adjourned at 7:44pm.

10/6/11 PTO Minutes

Union Sanborn/Southwick PTO MinutesThursday, October 6, 2011In Attendance: Rick Honer, Julie Nieder, Cindy Cilley, Heidi Carey, Kathleen Laureti, Rich Hines, Sue Collins, Dawn Cilley, Julie Swain, and Judie Milner. Rick indicated that it would be ideal to have 5-6 more key PTO volunteers to really be successful. Reviewed challenged with Fall Fundraiser, need of a fall fundraiser committee versus one lead. As well Jodie asked that each chair prepare a small review of tasks to complete a project/program for record in the case of a transitional year.

Report of success on the Holiday Shoppe and Holiday Fair.

Treasurer Report - $11,800 balance, a little over budget in Holiday Fair reimbursement. Cindy considering all, as the chair she will determine actual plan of action (1 or 2 events, night or matinees, food or not). Cindy will let us know plan and we can fill in volunteers to support her organization once determined. Cindy will let schools know movie options for voting one her plans are solidified.

Committee for Fall Fundraiser - Rick suggested like 3 people form a committee to run the fall fundraiser next year. Cindy Cilley signed up as the treasurer she thinks it feels appropriate to be a part of this largest fund raiser. Liegh-Ann Phelps volunteered to be on the committee. We need to find one more key lead partner. Goal of this committee will be to select the vendor of choice, manage program through to the end. Ask if we could write a thank you to Shaw’s for donating 500 box tops to our schools, this equals $50.

Fundraising – discussions on if there is a need for spring fundraising or do we only do that every other year. Flower Power was great and easy, raised $2500. Other ideas were made, PTO yard sale, candy bars etc. Jodie and Rick both mentioned that we need a purpose to have a fundraiser as to not over burden our parents. Jodie suggested we wait to hear from Principles on need or next year’s budget needs. This will be added to the next meeting agenda for discussion based on findings.

Suggestion on Mother/Student event was made.

Meeting called to an end at 7:44 p.m.

NOTE : After Teacher Breakfast, Movies, and Applebee’s Breakfast is over, the remaining scheduled PTO programs are Teacher Appreciation Week, Volunteer Recognition, 5th Grade Gradation are the remaining programs supported by PTO.

Enjoy a short stack for a tall cause!

You're invited to an Applebee's Flapjack Fundraiser breakfast to support the

USS/SS PTO!

Tickets are $5 each

When: Saturday, January 22nd from 8AM-10AM

Applebee's Tilton (75 Laconia Rd)

Come and let some of the community leaders and future leaders serve you! Mr. Hines accepted and Mr. Neville seconded

Communications Report from Sarah- Will be an ongoing monthly report of all communications sent out and any upcoming notices/flyers to go home. This should help with incoming secretary for next year and will act as a head’s up for those who do the copying of notices @ schools.

Fall Fundraiser Update from Sarah- Kick-off went well @ both schools and students seem to be excited for prizes. Mr. Hines did receive the Silly Bands for teachers to give to any student who passes in an order form. Jodie will do up a flyer to have sent home on Tuesday the 12th as a reminder that all orders need to be in by Friday. Counting of all monies will be on Tuesday the 19th @ 4PM @ Southwick School (Sarah, Jen O’Reilly, Cindy, and Rick to count)

Heather from Uno’s stopped by as a reminder of Uno’s Adopt a School Program and recapped the program for the PTO. Uno’s to work with the Principals and schools directly. PTO may do a doughraiser.

Fall Festival update from Jodie- Going to be great! As of right now, is still under budget but Jodie looking into a tent rental from Taylor Rental (may be donation) and submitted the form for custodial fees. We will be holding a bake sale and the proceeds from bake sale will be split 3 ways between the 3 schools and given directly to the schools for use rather than PTO. Jodie motioned for proceeds to be given directly to the schools to use @ their discretion. Rick seconded. Rick also mentioned that 2 Tilton School students have offered to come and do papercutting as community service. Kelli is making 3 scarecrows. Julia has confirmed that Northfield PD will be there for fingerprinting from 11-2PM.

Spirit Shirts- DeeDee- Shirts were passed out after pep rally and went over well. Total came to $898, much less than last year because of abundance DeeDee had from previous years. Next year it will be more expensive as she has less inventory. Say It In Stitches made error and printed white shirts instead of gray shirts. DeeDee spoke with the woman and she has offered to let us buy the “oops” shirts for $3.25/piece instead of $6.50/piece. DeeDee to see if we can purchase for under $3/piece. Julia motioned for PTO to purchase shirts if they came in @ $2.50/piece. Rick seconded.

DeeDee to also put together a flyer to have distributed for people to order embroidered pieces from Say It In Stitches for the holidays. We had paid to have the logos set up over the summer as approved last year.

Breakfast with Dad update from Rick- on track. Flyer with RSVP & menu to go out week after Fall Festival. Dates are November 2nd for USS and November 9th for SS from 7:30-9AM. Volunteer Coordinators to recruit for help @ the event.

Jodie went to the School Board meeting and is looking into having an email address made for PTO with the wrsdsau59.org ending. The PTO information has been updated on the district website. We can begin sending PDF notices to the Principals to have posted on the website through the webmaster.

Tax filings- Jodie put a call into H&R Block. H&R Block will do our taxes for $150! This is a great rate. Jodie to work with Cindy to put paperwork together to have filed in November.

Bullying Policy- Mr. Hines on behalf of Suzan Gannett and Superintendent Davis- Reviewed the draft of the bullying policies and new laws. It has been reviewed by all staff at both schools. Successfully
with the help of over
15 local businesses we were
able to do just that.
