March Preliminary Minutes

Preliminary March 2011 PTO Meeting Minutes
Please make any suggested updates/corrections for discussions @ the April meeting. Minutes will be edited and accepted on April 7th @ the monthly meeting. Minutes below are subject to change.
13 in attendance: Jodie Gallant & Rick Honer (PTO Co-Presidents), Cindy Cilley (PTO Treasurer), Sarah Lapointe (PTO Secretary), Tim Neville, Leigh-Anne Phelps, Rich Hines, Julie Nieder, Dawn Cilley, Nelly Roache, Brian Winslow, Sue Collins, & Sara Smith

Meeting Opened 6:34 PM
 February minutes reviewed- Tim accepted and Sue seconded. All approved
 Treasurer report (Cindy) - Balance of $11876.87- Rich accepted and Tim seconded. All approved
 Events-
o Teacher Valentine’s Day Breakfast: Very well received and on budget. The Staples gift cards were also well liked!
o Movie Night: Cindy all set. Wal-Mart donated a $50 gift card to purchase the DVD to raffle off. 175 have RSVP’d for event
 Update- Movie Night was a great success and we raised $460! Few tweaks will be made for next year but will be discussed @ April meeting.
o Flower Power Fundraising: Sarah good to go. Packets will be going home on Monday as well as notice on blog and email out. Rick is working on incentives for students and classes.
o Volunteer Appreciation: last year it was not well attended; do we need a night of recognition? Will discuss further @ April meeting
o May Teacher Appreciation Week (5/1-5/7): Teachers do prefer money over daily token gifts. Maybe do pizza lunch and a coffee break plus cash gift? Rick, Nelly, and Julie working on putting it all together. Principals report that 36 teachers would need a cash gift (20 @ USS and 16 @ SS)
o Fall Fundraiser: Committee consists of Cindy, Leigh-Anne, and Julie. They are researching companies and meeting with the Principals for incentive ideas. Will have plan before April vacation.
o Tastefully Simple (Sara Smith): Would like to have a party @ the school and entire party profits (100% of her profit of 30% of the total sales) would be donated. Could be internet party as well as taste testing @ school. No problem using the school as long as building use form completed. Free gifts earned could supplement Teacher Appreciation Week. USS to host. Jodie motioned for PTO to have party and Sarah seconded. Jodie motioned for $30 to purchase child friendly munchies and Julie seconded. Will aim to have 1st week in April to have orders in before Easter (orders typically take 8 business days to come in). Tentative date of April 6th
 Open PTO Board Positions- 2 year Co-President, 2 year Secretary, each school Volunteer Coordinator- maybe only 1 VC needed for both schools? Nominations to be in April to vote on in May
 AIR (Brian Winslow) - Proposal for Rock Davis of Circus Smircus fame to be @ SS from Jan-April 2012. $3127 from NH Council of Arts. Brian requesting $1500 from PTO for confirmation. Jodie accepted and Sue seconded for PTO to give the $1500 already budgeted to the 2012 SS AIR program.
 Box Top Southwick Student Council Drive (Mr. Hines on behalf of Kelli Aldrich) - Student Council decided on a short movie as reward for class who brings in most Box Tops. Student Council to do all the work and PTO will tally results.

Flower Power

It’s Spring Fundraising Time!

Due to the great response from last year’s Spring Fundraiser (we raised close to $2500!), we are once again proud to offer
Flower Power Fundraising!

Important things to remember regarding Flower Power:
• All orders will be shipped directly to the purchaser within 7- 10 business days
• The PTO will only be accepting checks and/or money orders.
• NO CASH! (Checks must be made payable to the USS/SS PTO)

* Top Seller from Union Sanborn will receive 2 tickets to Whale’s Tale Water Park
* Top Seller from Southwick will receive 2 tickets to a Fishercat’s baseball game
* Top Seller for each grade will receive a $20 Funspot gift card
* A special prize for the class at each school that sells the most!
