All parents of Union Sanborn and Southwick School students are members of the PTO, and are encouraged to attend. Membership in the USS/SS PTO is free.

Meeting Minutes
October 3, 2013

In Attendance: Christie Mingolla, Heather Durgin, Cindy Bouchard, Sandy Benard, Rick Honer, Mr. Hines, Mrs. Proulx, Mr. Cheney, Leigh-Ann Phelps, Cindy Cilley, Mrs. Parker, and Miss Wisler

The meeting was called to order at 6:36pm by Leigh-Anne Phelps.

Secretary Minutes
  • Rick Honer motioned to approve the minutes.  Mr. Hines seconded.  All were in favor.
 Treasurer Report
  • Check signatures are all set to pay bills.
  • For September, paid for candy for open house.  $20.00 was reimbursed to the cash box.
  • October has outstanding bills that were anticipated.  New bills include Halloween candy and labels for the downtown trick-or-treat event ($27.00) and paper for the clothing sale ($11.99). 
  • Heather Durgin motioned to approve the report.  It was seconded by Mr. Cheney.  All were in favor.
 Welcome New Parents and Teachers
  • Leigh-Anne welcomed all the new faces.  Welcome!!!  Board members introduced as well as new staff and teacher members. 
 Fall Fundraiser Update
  • It was discussed that any online orders ships directly to the customer.  If an order is placed through a student in person, the item is delivered to the school.  Online orders ship more quickly and they also have the option to select a different shipping address online. 
  • Leigh-Anne talked with Judy and realized that the schools are closed on the initial date we set for the fundraiser deadline.  Orders can now be turned in on the10th or the 15th.  Last pick up date will be on the 18th for those who have submitted past the deadline.  It takes about 2-4 weeks from when we send it in to get a delivery.
  • Leigh-Anne mentioned sending out a volunteer form to get helpers to count money.  Heather Durgin offered to help on Monday 10-21-13 at 5:00 at Union.  Cindy Cilley will give Leigh-Anne a check tonight to mail to the company.  Cindy Bouchard and Sandy Benard can help as well. 
 Holiday Shoppe Update
  • Rick Honer said Tilton prep. kids are still at school December 14th; Will wait when we get closer to get number of kids.  We didn’t do gift wrapping last year, but used bags the company provided instead.  Cindy Cilley is not sure she wants to do it this year.  She is still looking into advertising to churches and day care centers with the company. 
Digital Footprints Update
  • Heather Durgin and Miss Wisler attended.  Heather Durgin said that she found it an interesting presentation, with lots of media clips to share; the presenters talked about what images our children are exposed to in their lifetime from video games to commercials to TV. shows or from friends talking about it; people were asked to share their concerns and a list was generated from the concerns regarding our youth and media.  Lots of various concerns were expressed, like bullying.  The presenters also discussed ‘dirty footprints’, our digital footprint we’re not even aware of, like applying for scholarships, college, and jobs through searching your name on an internet browser.  They said you could find positive things too, but it’s the dirty footprint that affects your future.  They also passed out information packets to give parents ideas on how to open up conversation with their kids about safe use of media. 
 Other
  • Mrs. Proulx
    • She reported that she is still looking into what caused the PTO volunteer flyer not being sent home to all parents. 
    • Union Sanborn had a car seat safety presentation yesterday.  It was well attended.  A write-up is going into the newspaper about it. 
    • On Monday they will be having a parent information meeting; she is trying to have one twice a month (am/pm) for a round table discussion. 
    • Safe Routes to School – just finished travel plan; work on side walks, get a solar powered flashing sign for the school are included in the travel plan to submit to the state, waiting to apply for the next round of grants; now waiting for round 7 application; it was endorsed by the school board and select board in Northfield to move ahead.  A schedule was provided to us for activities, fitness, and health in the travel plan. 
    • International Walk to School Day will be on Wednesday October 9th.  The Governor has been invited for the first walk; waiting to hear if she’ll be able to attend.  Jim Edson from CHAD and Mrs. Proulx are going to Mix 94.1 to broadcast about it.  Students will arrive at the Pines.  Fed-ex is supporting the event.  The fire and police department, town’s people, SAU staff, teachers, and parents are all helping out.  Roland, the crossing guard, is getting an award and a new vest as a gift.  Refreshments for volunteers and guests will be provided in the multi-purpose room, kids will have theirs in their classrooms.  A press release is going out tomorrow to several newspapers. 
    • Reading incentives are going well; going for walk tomorrow for first incentive.  38,000 minutes read this last month at home.  The next goal’s incentive is Tilton school students doing outdoor games in November. 
  • Mr. Hines
    • Reported that he is also looking into Safe Routes to School for Southwick. The committee contacted a person from the state who took a look at the possibility of extending from where the sidewalks are down by the police department all the way up to the school; however, it is too expensive.  The trail was considered too, but there are safety concerns there. 
  • Cindy Cilley
    • She has created a brochure that she’ll send to Miss Wisler to put on the PTO blog and made a hand out for board approval.  Date of sales 10-28 through 11-8; hoping apparel will be here by the second week of December. 
    • Follow up on taxes – she spoke last time about using IRS free e-postcard submission.  She has contacted them again and found in checkbook folder that we received a letter that we could do it in 2010 but the gross receipts have changed to 50,000 so now we qualify.  It is acceptable to do online, with no fees, and you don’t have to be certified accountant.  We can go back to regular 1090EZ in the future if want.  She also spoke with the Department of Justice to see if they accept e-postcards.  They do not.  They send a form annually, as opposed to sending a tax form out; we can complete that instead and there are no fees associated with it.  Cindy Cilley made the motion that PTO use e-postcards to file taxes and complete paperwork for Department of Justice in order to save money and keeping in mind that the next treasurer can return to H&R Block if they wanted to.  Mr. Hines seconded the motion.  All were in favor.  (State charges $75.00 annual fee to be nonprofit.)   
  • Breakfast with Dad
    • Is usually held in November, one morning before school begins at each school.  It is not a PTO fundraiser; the money goes towards the kitchen staff and food.  Originally, this event was not going to be sponsored by the PTO; however after discussion it was decided we would sponsor it this year.  PTO purchases table cloths for both schools.  However, using butcher paper is nice because kids can draw on it while waiting.  We will add to the notice that parents should not stay with their child when returning to the classrooms.  We will also advertise a beginning and ending time on the notice.  Checks need to be payable to the Food Service, not PTO.  Southwick School will have theirs on Friday, November 15th.  Union Sanborn will be on Monday, November 25th.  Both schools will need volunteers starting at 7:00 to help set up and help with parking cars around 7:45.  The actual breakfast will be 7:45-8:45. 
  • Make-It-Take-It discussion tabled until next meeting. 
    • This is an event where teachers have craft tables and the PTO does a 50/50 raffle and bake sale.  The book fair was at the same time last year.  Craft materials are purchased from PTO; we spent $350.00 last year; it gets expensive.  It was suggested that we have a craft fee to help off set costs.  We made $200.00 off the raffle.  It is well attended by families; hard to put financial burden on them. Miss Wisler offered to chair the event.  Heather During offered to help.  The event is usually 5:30-7:00.  It will be on Thursday, December 5th in lieu of a regular PTO meeting.
  • Downtown Trick-or-Treat Event
    • Will be Friday, October 25th from 4:00-6:00.  Miss Wisler will contact the town for recommendations on where we can set up.  Mr. Cheney will create a flyer advertising our PTO meetings to hand out to the adults.
  • Discussed other ideas for fundraising.  Suggestions included:
    • Applebee's Dinner - need to get more information on it
    • Smitty's for a movie night - Mr. Cheney reported that PBIS did it and it was not well attended and can only be during certain times/days.                                                              

Leigh-Anne motioned to adjourn the meeting at 7:36.  Cindy seconded.  All were in favor.
