All parents of Union Sanborn and Southwick School students are members of the PTO, and are encouraged to attend. Membership in the USS/SS PTO is free.

Meeting Minutes
November 7, 2013

In Attendance: Christie Mingolla, Heather Durgin, Leigh-Ann Phelps, Cindy Cilley, Mrs. Parker, and Miss Wisler

The meeting was called to order at 6:33pm by Leigh-Anne Phelps.

Secretary’s Report
  • Mrs. Parker referred to the date originally discussed at last month’s meeting, as noted in the minutes, and questioned why there was a change in the date.  The minutes had November 15th but it was changed to November 7th.  Cindy Cilley saw on a memo from Karin Wilcox that it was scheduled for November 7th, that is what was sent home to parents.  Most likely a miscommunication.  We will recap at the end of meetings to make sure we’re on the same page.
  • Mrs. Parker motioned to approve the minutes.  Leigh-Anne Phelps seconded.  All were in favor.

Treasurer’s Report
  • As of now there is $28,300 in the account.
  • Expenses in the past month include: the annual PTO fee, liability insurance, $1,000 to Mr. Hines for the chrome books that was supposed to be from the Tanger Grant (but check was written to Union Sanborn), and PBIS.
  • Income in the past month is from the fundraiser ($21,400) and from the fundraiser internet sales ($380).   
  • Bills for November/December: waiting on the parent internet safety meeting, custodial fees for the holiday shoppe, spirit wear apparel, snack receipt from Mrs. Roy, Box Top postage reimbursement, NH state filing fee, Halloween candy and paper reimbursement, paper for clothing sales, and Yankee Candle expenses
  • Anticipated end balance is $11,400
  • Mrs. Parker motioned to accept.  Leigh-Anne Phelps seconded.  All were in favor.

Fall Fundraiser
  • We earned a little more than last year’s fundraiser because the internet sales already have the profit taken out.
  • People who did internet sales already have their products, much more convenient and quicker.
  • Hoping items arrive before Thanksgiving break
  • Pick-up for items is usually 4:00-6:30.
  • Leigh-Anne Phelps will email Mrs. Brady and Mrs. Wilcox once we know specific date and time for pickup.
  • Christie Mingolla and Heather Durgin volunteered to help at pick-ups.



Holiday Shoppe
  • Cindy Cilley called the rep, $150.00 in shop dollars is a better incentive; she will give Mr. Cheney the shop dollars to divvy out amongst students who they feel needs the dollars most.  
  • We are getting the same amount of products as last year.
  • Maybe do a flyer for the church downtown. 
  • Last year we had 3-4 volunteers.  Tilton Prep kids are all signed up to help out.  We will need volunteers Friday after school to help set up.
  • Event: Saturday, December 14th 1:00-4:00pm at Union Sanborn School

Holiday Make & Take Fair
  • The Book Fair will be at the same time, in the multipurpose room.
  • As this was originally not on the calendar for this year, we need to vote in a budget: usually make $200.00 from the bake sale and the raffle, spent $350.00 on crafts and pizza for volunteer crafters last year.  Cindy Cilley proposed a $400.00 budget for this year.  Mrs. Parker motioned to approve the budget.  Leigh-Anne Phelps seconded it.  All were in favor. 
  • The group discussed doing a 50/50 for raffle this year, more enticing to parents because they can choose what it goes towards. 
  • Miss Wisler will contact DeeDee for contact information for Santa and will be sending out sign-up sheets for both schools for staff members to run craft tables.
  • Event: Thursday, December 5th 5:30-7:00pm at Union Sanborn School

Spirit Wear
  • There was a rush of orders between yesterday and today, maybe because of the mention in the Backpack Express.
  • A lot of kindergarteners and third graders did not submit their form; will do a class list and measurements at school next week.  Cindy Cilley will hand out class lists that show which kids have already sent in their sizes.
  • A screen print minimum order is 24 shirts; embroidery is $7.00 for each shirt, then after 12 shirts it drops to $5.00.  The group discussed whether we make the additional orders to get the deal.  Consensus was to go with the minimum, that way we have products on hand to put out at events for sale.
  • The group also discussed a “push” to wearing them for field trips, assemblies, Cool Tools, other school events to promote school spirit, and it might help increase sales too.
  • Middle School uses Body Covers for company, and is very pleased with their experience.

Applebees Pancake Breakfast
  • Group discussed January 11th as a possible date for this event.  Leigh-Anne Phelps will check on this date with Applebees.



Breakfast with Dad
  • Southwick School had a great turn-out this morning with a total of 286!  There was a suggestion of making it later because dads were eating and leaving right after, kids were having to be in classrooms from 8:00 on.  Next year announce that kids can’t go down to rooms until 8:00 at the earliest to help with this.  The time really can’t be moved to later because kitchen staff needs time to prepare for their regular breakfast service; it also allows an even flow of families through-out the hour. 
  • Reminder: USS will have theirs November 25th

Reading Incentive at USS
  • Mrs. Proulx would like to extend a huge THANK YOU to all the parent support at home in encouraging their child(ren) to read and earn minutes.  This month’s incentive was playing small group games and one whole group game with students from the Tilton Prep.  Students need to read at least 320 minutes in the month.  October totaled 84,115 minutes read!!!!

Downtown Trick-or-treat
  • This went great!  Kids loved seeing their teachers there!  Mr. Cheney, Mrs. Burke, Mrs. Parker, Miss Wisler, and Mrs. Proulx were all able to attend.
  • We made it in the paper (Winnisquam Echo).

Turn-outs at meetings
  • Parents will talk about PTO at USS round table talk to help spread the word and get more parents involved.

Box Tops
  • Mrs. Ficici will be helping Sue Miner this year.

Other
  • Cindy Cilley did the taxes, and they are all done.  The state filing is also done, just needs to send it in.


Leigh-Anne Phelps motioned to adjourn the meeting at 7:40.  Mrs. Parker seconded.  All were in favor.
