Meeting Minutes
January 9, 2014

In Attendance: Christie Mingolla, Heather Durgin, Leigh-Anne Phelps, Cindy Cilley, Mr. Hines, Mrs. Proulx, Mrs. Parker, and Miss Wisler

The meeting was called to order at 6:35 pm by Leigh-Anne Phelps.

Secretary’s Report
  • Leigh-Anne Phelps motioned to accept the minutes as written.  Mrs. Parker seconded the motion.  All were in favor.

Treasurer’s Report
  • We had an additional $161.60 for internet sales with the Yankee Candle fundraiser.  There was a bill for missing items that were not in their computers (we were not originally charged for those items, so that’s why we got the charge of $95.00)
  • Bills for the past month: t-shirts for staff and students, spirit wear for sale, homework snacks, Holiday Shoppe products, holiday craft expenses,
  • Income for the month: spirit wear, bake sale, raffle, yankee swap, Holiday Shoppe (about $100.00 profit)
  • Outstanding bills: parent internet meeting (Cindy Cilley will email Maria Pearson to check on this), Holiday Shoppe custodial fee, Southwick snacks
  • Mr. Hines motioned to approve the report.  Leigh-Anne Phelps seconded.  All were in favor.

Holiday Shoppe
  • Had kids from Tilton Prep helped out
  • Not as good sales this year.  Last year was around $830.00.  This year was around $730.00.
  • Cindy Cilley mentioned that 14 children received $10.00 holiday bucks but only 2 children showed up; maybe next year go back to the 5% profit
  • Busy for two hours, but then it died down
  • Lot of effort goes into it
  • Maybe 30-40 kids total
  • Some confusion with students from Tilton school
  • Suggestions for next year: hand out the holiday dollars at the door instead of ahead of time; try having it at the same time as the Holiday Fair or after school
  • Company used this year is more expensive, but products are a little better compared to past years

Holiday Fair
  • Raffle suggestions for next year: have table near the door instead of over by Santa; go around to promote sales instead of at a table, may make more that way; 50/50 went well because parents can purchase what they want who may not otherwise be able to
  • Went well, lots of positive comments from parents

Pam Miller will come to our meeting in February.

Applebee’s Breakfast
  • Leigh-Anne didn’t hear back from them in time for original date of Jan. 11th
  • Event will be: February 1st 8-10am
  • Leigh-Anne called today – we will do a buffet style instead of serving, don’t need as many volunteers this way
  • Mrs. Proulx can help that day
  • Need volunteers to help with: cash box, greeting at door, seating, selling spirit wear and magnets, 50/50 raffle, 3 people for serving drinks
  • Flyers will be sent home on 1/14
  • Due date for tickets is 1/23
  • Advertisements will go out 1/25 to local businesses
  • Email volunteers by 1/29
  • Distribute tickets by 1/30
  • Have a pre-paid list in case they forget to bring tickets, but can buy at the door
  • Put flyer at farmer’s market to advertise
  • $8.00 ticket
  • Miss Wisler will send Leigh-Anne Phelps all the flyers on the flash-drive from Judie.

Upcoming Events
  • The District meeting will be March 22nd beginning at 9:00am at the high school.  It could go as late as 1:00pm.  Please encourage parents to attend and stay for the entire meeting; there is child care.
  • February 20th Mrs. Proulx is having pre-schoolers and new Kindergarten students come in for a story night at 6:00pm; will be advertising at local childcares
  • February 19th at 7:00pm at the middle school, there will be a public hearing on the school district budget.  The budget committee will explain the budget, take public comment, then present the finalized budget at the March meeting.
  • March is Reading Is Fun month at USS.
  • March 26th from 6:00-7:30pm Family Fitness Night at USS.  There will be different activities for children and their families, as well as nutritional food.

Other
  • It was asked what the December reading incentive was at USS.  Mrs. Proulx said that the percussion band from the high school performed.
  • The group discussed sponsoring an ice-skating event.  The Tilton Prep was suggested (will have to bring own skates).  The Everett Arena in Concord has equipment available.  White’s Park in Concord (near UNH Law Center) also provides equipment.  There was also discussion about having a bake sale at the same time. 
  • The group then discussed the Tilton Sports Complex instead of ice-skating.  There are lots of options there, such as soccer, batting cages, and rock climbing.  They are trying to get out in the community more, so this might be a good arrangement.  They also have an indoor facility.  Heather Durgin will call to see what dates and times work best for them.  She will inquire about March dates and costs.
  • Cindy Cilley mentioned that we need to complete paperwork on how we used the grant monies from Tanger Outlet.  It is due in March.  She mentioned taking a picture of a class with the chromebooks with a sign to send in with the paperwork. 
  • It was suggested we look into another grant this year, possibly for Riff books.  Leigh-Anne Phelps will find out when this was done in the past.
  • A suggestion was made that we encourage kids to wear their spirit shirt at events like Family Fitness Night.  The group discussed that if they wear their shirt, they get a raffle ticket for something like kids toys.  At the pancake breakfast, if they wear the shirt, they get a raffle ticket; if their name is picked, they get their money back for the breakfast.

The meeting was adjourned at 7:34 by Leigh-Anne Phelps and seconded by Mrs. Parker.  All were in favor.
