Preliminary January PTO Meeting Minutes:
Please make any suggested updates/corrections for discussion at the February meeting. Minutes will be edited and accepted on February 4, 2010 at the monthly PTO meeting. Minutes below are subject to change.

14 in attendance- Sarah Lapointe, Jodie Gallant, Dee Dee McCain, Michelle Mosa Colleen Westerling, Brian Winslow, Valerie Bergeron, Susan Collins, Dawn Cilley, Jon Cilley, Cindy Cilley, Kelli Aldrich, Tim Neville, and Heidi Carey

Meeting Opened 6:35 PM

Review of November minutes:
-Sue Collins motioned to accept
-Dawn Cilley seconded

Holiday Fair Recap:
-Over 100 photos were taken with Santa. Very busy with a dozen craft stations set up. Dawn & Jo-Ala staffed the bake sale which took in cash donations instead of set prices. USS also had a book fair. Lynne Long ran the raffle table and handed out free door prize tickets to everyone and sold raffle tickets ($1 each or 6 for $5).
Raffle Prizes: Nintendo DS package, 4 movie passes to Smitty’s with a $25 gift card for dinner, and 7 family board games.
-Proceeds:
Bake Sale $156 + Raffle Tickets $254.50 = $410.77
-Payout:
Raffle Prizes $190 (Budget was $250) + Pizza for volunteers $33.72 + Photos with Santa $16.20 + Reimbursement for crafts $46.34 = $286.26
-Profit of $124.51!
-Thank you to the LaChapelles for the trays to bring the new crafts home in. Let’s remember for next year.

Holiday Shoppe Recap:
-The Middle School and High School volunteers did a great job. All volunteers for both the holiday fair and shoppe were sent thank you letters.
-This was not done as a fundraiser there was no monies raised.
-$1147 worth of products was sold
-Great feedback from parents
-Could be a fundraiser next year with a minimal mark up on the items
-Jodie apologized for Mr. Neville for the products showing up at USS without his acknowledgment of what was going on.
-Next year we will provide pizza for the volunteers!

Treasurer’s Report (Michelle):
$13081.97 balance without the holiday fair and shoppe
-Jodie discussed the Malone, Dirubbo tax bill for $325.
Motion to pay-Jodie
Seconded- Michelle
PTO to pay the $325 to Malone for tax preparation but will be looking for another CPA to do taxes since they will be raising rates to over $1000 for 2010 taxes.
-Anyone who knows of a CPA please let Jodie know!
-Valerie suggested Turbo Tax, Jodie will look into it

Requests for payment-
- RIF (Reading is Fundamental)- $1200 Candy and Michelle from both schools order books @ end of January
Motion made for RIF not to exceed $1300 ($650 each school) for both schools made by Mr. Neville. Seconded by Sue Collins and all accepted.
- PBIS- Request to come from Principals with exact amount at the February meeting

- AIR (Artist in Residence) - mid March/April. A volunteer is needed for both schools to act as liaison for artist
o Schedule will be provided at next meeting
o Any feedback or suggestions for next year please let Brian Winslow know.
o

Treasurer Report- Accepted by Mr. Neville and seconded by Dawn Cilley

Upcoming Events:
Valentine’s Day Teacher Appreciation – Heidi Carey and Dee Dee to coordinate for Friday 2/12
Bakers need to be solicited and recruited
Valerie to get paper goods
Movies- Jodie, Michelle, and Mr. Neville to coordinate. Kids will vote on the movie. Popcorn, water donations will be looked into and license fee applied for ($75). Brown bag lunch.
-$75 license fee motion to pay by Mr. Neville and Jodie seconded

Donuts with Dad Program- will be end of March
Mr. Neville had a great idea- instead of donuts; why not have hot breakfasts from cafeteria. Just need an approximate head count to give to kitchen staff.
Will be discussed more at February meeting- flyers, emails, notifications
Placemats made by kids

Teacher Appreciation Week- MAY- gift ideas? Last year Para-educators were given $10 Dunkin Donuts gift cards and teachers $25 cash.
- Jodie to speak with Jo-Ala to see when next bus driver meeting is so that PTO and Principals could bring goodies to them at bus yard

Open Items:
Tanger Program- Last year to participate in the National Program @ $5 p/book. Sarah and Jen O’Reilly to work on plan for selling. Possibly having PTO members sign out and sell? New year so new 2010 books will be out

Decals- to be discussed @ February meeting

Spring ‘Go Green’ Night- possibly to coincide with Game Night? Probably in April. Colleen to look over and bring to table at February meeting

Genevieve’s as next year’s fundraiser-to be talked about at next meeting. Will need a volunteer to chair. PTO Board to look into other options on PTO Today and bring to next meeting ideas

Southwick Literacy Committee Request- up to $150 for the week before February vacation for an author to come in for activities all week. Colleen motioned to accept and Kelli seconded. PTO to pay $150 to the Southwick Literacy Committee.

Emergency Snacks-Received emails from 1st grade teachers thanking PTO for the program. Both schools are low. Dee Dee will purchase and be reimbursed as per the $25 per school per month as passed by the PTO.

Another notice for volunteering at the upcoming events. Volunteer coordinators to reach out to all who completed the initial volunteer form back in September. Jodie to make phone calls.

New PTO newsletter to come out in the next week or so
