Preliminary FEBRUARY PTO Meeting Minutes
Please make any suggested updates/corrections for discussion at the March meeting. Minutes will be edited and accepted on March 4, 2010 at the monthly PTO meeting. Minutes below are subject to change.
16 in attendance: Jodie Gallant and Dee Dee McCain (PTO Co-Presidents), Sarah Lapointe (PTO Secretary), Michelle Mosa (PTO Treasurer), Brian Winslow, Sue Collins, Cindy Cilley, Valerie Bergeron, Colleen Westerling, Jon Cilley, Heidi Carey, Linda Burke, Rich Hines, Jo-Ala Markson, Dawn Cilley, and Julia Ficici
Meeting Opened 6:34 PM
Review of January minutes- Michelle Mosa motioned to accept and Sue Collins seconded
Treasurer Report- balance in account is $12,688.28, estimated after proposed year end expenses and early 2010 Sept expenses is a balance of $4078.28
-Rich Hines motioned to accept and Brian Winslow seconded
Breakfast with Dad @ USS- Linda Burke (Director of Food Service)
-188 RSVP, 266 were served
-Very positive feedback was received and a great response from all. A few donations were made and it was great awareness for food service.
-As of 2/4/2010, there were 168 RSVP for SS Breakfast with Dad
-Jodie motioned to reimburse Dee Dee $13.80 for decorations/table cloths purchased for the breakfast. Dawn Cilley seconded.
-PTO will pay the unpaid balance from the breakfast =$7.50
Valentine’s Day Teachers Breakfast next Friday 2/12- Heidi Carey-
Will be set up buffet style
Volunteers are needed to help with clean up and drop off
USS needs food donations- Dawn is sending a letter home to parents
Linda Burke will provide chafing dishes and Sterno (3 @ each school)
7:45-8:45 in library @ USS and art room @ SS
For next year, we should keep in mind the tech school to provide for breakfast
Coffee will be donated by Food Service for both schools as well as utensils
Valerie purchased the paper goods and Junior Mints
Jodie will go to Dollar Store for table cloths and few decorations

Candy Poems-
· Cost to print color copies would be between $117 and $122-thought it would be nice since not giving gifts this year – cost too much, voted down
· Cindy Cilley can make color copies at work-she’ll make copies and give to Dawn early next week so can give at Valentine’s Day breakfast
· Dawn and Jo-Ala would have students sign
Bus Driver Appreciation- There are 11 drivers for USS and SS schools. As appreciation, we will be giving each a $5 Dunkin Donuts gift card for a total of $65. They will be handed out in March by members of PTO. Sarah motioned to accept and Michelle seconded. Need to pick date with Principles and be at Southwick to hand deliver.
Movie Matinee- PTO to make flyer to promote
Dawn proposed doing it on a Friday night because then we won’t incur a custodial fee. She also suggested having Olive Garden donate salad and working with Constantly Pizza to have pizzas. Possibly charging $2.50/each for admission for a fundraising tactic. Have dinner from 5:30-6:30 and then show movie. Can have RSVP to track pizza costs. - Pizza will be moved to the Open House
-PTO decided to keep the Saturday matinee and have popcorn and a candy sale. Use BJ Gift Cards to purchase candy, get Smitty’s to donate popcorn and Coke to donate beverages –
-Toni Manning emailed interest in helping, need 2-3 volunteers per school
-Movies selected for Union – G-Force, will be selected this week for Southwick
-Jodie to build flyers for distribution before vacation, reminders after vacation, Jodie will work on donations, need to solicit for more volunteers.
-John Cilley motioned for custodial fees in the amount of $125 p/school if not already taken care of and Rich Hines seconded, all in favor
Game Night-Colleen Westerling will lead program- scheduled and confirmed Friday, March 26 5:30-7:30 Southwick School
-Games are set up for 4 age groups. Orders are in within a week
-Student Council @ High School to volunteer
-Only potential expense is to ship the extra games back to company
-Profit could be anywhere from $250-$1000. 50% profit
Other Spring Fundraising was discussed as our funds are low, Jodie indicated that in order to me year end typical expenses and continue with early 2010 expenses that more funds are needed. The goal was set to present ideas at March’s meeting, ideas included:
-Cash calendars- sell in April, draw in May
-Car wash, bake sale, yard sale – options but take a lot of organization and staff – keep on back burner
-Pancake breakfast- Dawn/Jo-Ala to look into this at Applebees and see about profit margin
-Little Caesar’s pizzas (frozen)
AIR- Brian Winslow
Julia Ficici to be liaison. Sue Collins to help if/when needed @ USS. Starting 3/3 and run Wednesdays and Fridays until 4/21
PTO can put together PowerPoint presentation for 4/21 (USS) and 4/22 (SS) cumulative night- Will be selling Tanger books at these events!
Fabric cutting of 1500 squares needed prior to start. Will possibly have a volunteer night and teachers can help too. Date to be put out in next newsletter
USS afternoon volunteers needed- Dawn to look into recruiting
