Preliminary October PTO Meeting Minutes
Please make any suggested updates/corrections for discussions @ the November meeting. Minutes will be edited and accepted on November 4th @ the monthly meeting. Minutes below are subject to change.
14 in attendance- Cindy Cilley (PTO Treasurer), Tim Neville, Rick Honer (PTO Co-President), Julie Nieder, Chris Milner, Rich Hines, Heidi Carey, Kelli Aldrich, Julie Swain, Deidre McCain, Julia Ficici, Jen O’Reilly, Jodie Gallant (PTO Co-President), and Sarah Lapointe (PTO Secretary)
Meeting Opened- 6:33 PM
September minutes reviewed- Mr. Neville accepted and Mr. Hines seconded
Treasurer Report from Cindy- Balance of $5697.56. Mr. Hines accepted and Mr. Neville seconded
Communications Report from Sarah- Will be an ongoing monthly report of all communications sent out and any upcoming notices/flyers to go home. This should help with incoming secretary for next year and will act as a head’s up for those who do the copying of notices @ schools.
Fall Fundraiser Update from Sarah- Kick-off went well @ both schools and students seem to be excited for prizes. Mr. Hines did receive the Silly Bands for teachers to give to any student who passes in an order form. Jodie will do up a flyer to have sent home on Tuesday the 12th as a reminder that all orders need to be in by Friday. Counting of all monies will be on Tuesday the 19th @ 4PM @ Southwick School (Sarah, Jen O’Reilly, Cindy, and Rick to count)
Heather from Uno’s stopped by as a reminder of Uno’s Adopt a School Program and recapped the program for the PTO. Uno’s to work with the Principals and schools directly. PTO may do a doughraiser.
Fall Festival update from Jodie- Going to be great! As of right now, is still under budget but Jodie looking into a tent rental from Taylor Rental (may be donation) and submitted the form for custodial fees. We will be holding a bake sale and the proceeds from bake sale will be split 3 ways between the 3 schools and given directly to the schools for use rather than PTO. Jodie motioned for proceeds to be given directly to the schools to use @ their discretion. Rick seconded. Rick also mentioned that 2 Tilton School students have offered to come and do papercutting as community service. Kelli is making 3 scarecrows. Julia has confirmed that Northfield PD will be there for fingerprinting from 11-2PM.
Spirit Shirts- DeeDee- Shirts were passed out after pep rally and went over well. Total came to $898, much less than last year because of abundance DeeDee had from previous years. Next year it will be more expensive as she has less inventory. Say It In Stitches made error and printed white shirts instead of gray shirts. DeeDee spoke with the woman and she has offered to let us buy the “oops” shirts for $3.25/piece instead of $6.50/piece. DeeDee to see if we can purchase for under $3/piece. Julia motioned for PTO to purchase shirts if they came in @ $2.50/piece. Rick seconded.
DeeDee to also put together a flyer to have distributed for people to order embroidered pieces from Say It In Stitches for the holidays. We had paid to have the logos set up over the summer as approved last year.
Breakfast with Dad update from Rick- on track. Flyer with RSVP & menu to go out week after Fall Festival. Dates are November 2nd for USS and November 9th for SS from 7:30-9AM. Volunteer Coordinators to recruit for help @ the event.
Jodie went to the School Board meeting and is looking into having an email address made for PTO with the wrsdsau59.org ending. The PTO information has been updated on the district website. We can begin sending PDF notices to the Principals to have posted on the website through the webmaster.
Tax filings- Jodie put a call into H&R Block. H&R Block will do our taxes for $150! This is a great rate. Jodie to work with Cindy to put paperwork together to have filed in November.
Bullying Policy- Mr. Hines on behalf of Suzan Gannett and Superintendent Davis- Reviewed the draft of the bullying policies and new laws. It has been reviewed by all staff at both schools. There will be an open forum for parents before the October School Board meeting.
Julie Swain (art teacher for both schools) requested drying racks for classrooms at both schools. 1 for each school. Currently drying artwork on floors and tables. This would be a capital improvement item to purchase as it will be long-term for years of use. Total cost for 2 would be $644.70. Jodie motioned for PTO to purchase 2 drying racks and Kelli seconded.
