All parents of Union Sanborn and Southwick School students are members of the PTO, and are encouraged to attend. Membership in the USS/SS PTO is free.

Union Sanborn/Southwick PTO Minutes
Thursday, January 5, 2012
6:30PM Southwick Media Center
In Attendance: Rick Honer, Julie Nieder, Cindy Cilley, Heidi Carey, Julie Swain, Brandi Drinkwine, and Judie Milner.
Rick called the meeting to order at 6:34pm.
Julie N motioned to accept the November 3, 2011 minutes, Heidi seconded. Motion carried.
Cindy presented the Treasurer’s report. $8,475.76 was raised for fall fundraiser; $1,131.86 for the holiday dessert sale. The group discussed bake sales. Donation bake sales tend to make more than pricing the items; however, larger items need to be priced because donations were low for these.
Heidi Carey discussed the holiday shoppe. Next year, we should add another table for wrapping and 6 wrappers; 2 people on cash register worked great; bake sale in hall with parents worked well; used 25% mark up made $318.40 gross (net $218.40 with maintenance fee paid to school)
Heidi moved to accept the Treasurer’s report, Julie Swain seconded. Motion carried.
The group discussed the holiday fair. It seemed to move along faster than last year and it went well. Nothing needs to be changed. Recommended having someone work with Dee Dee next year as it is the last year she has a child in the district so she may not want to continue with the fair.
Julie N discussed spirit decals. Julie N passed around drawings made by Julie Swain. The group discussed the merits of having 2 separate decals each with the individual school mascots on them. The group decided to finalize this at the next meeting.
Judie Milner discussed pancake breakfast. Flyers were put in teachers boxes late Friday Dec 23rd before winter break for distribution early this week. Cindy stated one of her sons brought it home that Friday. PSA announcements for area radio stations will be done this weekend. Rick asked if it would be placed on the district’s Metrocast site as it was last year. Judie will check into it. It will go up on the Autoserv Jumbotron again. Autoserv kindly gives the PTO free advertising on the Jumbotron. Reminders will go out to students on the 10th. Ticket orders are due the 13th. Heidi asked that Judie email number of volunteers needed for the event. Judie stated that there were a few changes in the Applebee’s rules in that volunteers must be at Applebee’s at 7am and that volunteers must be 16 years of age. The group decided that student volunteers could greet and seat guests this year. Judie discussed making a master sheet of ticketholders cross referenced by number to the tickets this year. This will eliminate having to check each school for undelivered tickets as we will have the master list at the door. The group discussed doing t-shirt sales (Cindy will handle) and 50/50 raffle (Judie will set up) at the event.
Valentine’s Day Breakfast – Heidi volunteered to chair this event; Rick motioned to give each school a $200 Staples card, Julie N seconded. Motion carried. The group discussed handing out carnations to each teacher; decided on chocolates instead – Heidi will coordinate. Brandi and Cindy will decorate Union. Julie N and Julie S will decorate Southwick. Heidi will make list of items needed for parents to sign up for. Judie will send out email in Groupvine with Heidi’s announcement.
The group discussed a possible winter event for the students in February. It was decided that the previous Gunstock sledding idea was too expensive. Alternatively, the group discussed sledding at Tilton prep on Saturday February 11th or 18th at 1pm. PTO will provide hot chocolate, coffee and cookies. The group decided to finalize details at the next meeting.
Julie S discussed the clay experience with Robert Rossel as an artist in residence program for Union Sanborn second graders. The program will go along with their nature curriculum. Mrs. Laurette has $1500 budgeted for artist in residence. The students will be doing an ice cream bowl project so they have something to take home after. The artist will work with students on April 16 & 17th and work with each class of kids for 1 ½ hours. The items will be glazed so that the bowls will be able to go through the dishwasher. The 2nd graders will have ice cream social in May after delivered. Julie is asking the PTO for $500 and they will find the remaining funds needed in the school budget. Rick motioned to give the $900 difference between the cost and $1500 school appropriation. Cindy seconded. Motion carried. Rick will ask Tilton School to provide lodging for the artist to save on cost.
Julie N discussed the spring fundraiser. Julie N passed out the flyer for a new company called Nature’s Vision. The group discussed the flyer and decided it was a good one for the fundraiser. The group decided to do the fundraiser at the end of March.
Judie motioned to adjourn; Heidi seconded. Meeting adjourned at 7:45pm.
