Union Sanborn/Southwick School PTO Meeting Minutes Thursday, July 19, 2012 6:30 pm Pines Community Center In attendance: Leigh-Anne Phelps, Bridget Puffinburger, Cindy Cilley, Renee O’Brien, Cynthia Proulx, Heidi Carey, and Judie Milner. Judie Milner reported that the June minutes were not done but will be available for the September PTO meeting. Fall Festival Tentatively scheduled for Sunday, October 7 12 noon – 3pm. Judie will coordinate with Franklin Fire about providing the food again this year (also ask if they will bring Fire Truck if Tilton can’t). Judie will ask about cotton candy and for juices, lemonade, or Capri suns in addition to soda. Heidi will make phone calls to get some trucks – Fire, Police, MB Tractor, Rustys – to display for the children to explore/learn about. Heidi will contact Benson’s regarding the bouncy slide. Heidi has the Pumpkin Picture thing at her house for pictures. Cindy asking DeeDee taking lead in setting up more structured picture taking so the PTO can sell the pictures. Heidi will contact Mrs. Swain about face painting. The group discussed maybe adding a third face painter this year as it was one of the most popular attractions at the festival. Heidi will contact Apple Tree and possibly one other place about pumpkins for the pumpkin painting. Judie will contact Fish & Game about setting up an interactive learning area at the festival. Renee will email requesting items for the bake sale based on the volunteer sign ups we get from forms and at the school open houses. Chris Milner will do the tractor ride. Bridget will see if she can get a jumpy house for smaller children. Rick will secure the singer (Alex Caldwell) & Tilton School Students for paper cutting. Leigh-Anne checking into a possible petting zoo or educational thing (shearing sheep) and/or 4h demonstrations. Judie will get hay & corn stalks. We will all bring the mums from our houses again for decoration. Need scarecrows. Cindy is checking with her friend who works at the Army National Guard about a helicopter. Cindy will get the prizes needed – we have some left over from last year but need some more. Cost: $150 prizes, $300 pumpkins, $50 paint & brushes & paper towels Volunteers The group discussed the volunteer list – specifically, putting a place on the signup sheet for the student’s grade so we can keep them on the list through fifth grade without them signing up each year. Renee will add the grade to the volunteer spreadsheet. 2012/2013 Budget Cindy reported that our cash balance at year end is $13,616.54 (after 2012/2013 insurance and filing fee paid). Taylor Rental & BJ’s – Cynthia Proulx checking to see if we can get chairs cheaper for USS (need 200 chairs); she will check with Staples contact Leigh Anne said Rick hasn’t heard back from grants – recommended keeping the kindles off the budget until we hear Kindles - tabled until grant info comes out Wait on chair replacement at Union until September meeting Bridget moved adopting the 2012/2013 budget but removing the Kindles and chairs, seconded by Leigh-Anne. Motion carried. Fall Fundraiser Charleston Wrap – Cindy will hold the kick off assembly Friday September 14. Union Sanborn will be at 2:30; need a time for Southwick. Cindy will follow up with Mr. Hines. Cindy stated that merchandise will come in at beginning of November. T-shirts Group reiterated that we will keep same printer that we have been using for this year but check out new printers for next year. PTO Flyers Judie will prepare PTO flyers; join PTO, etc to go home with summer packets. Mrs. Proulx said to send them to both schools and they will include in packet. Mrs. Proulx stated summer packets were going out 8/3. Kindergarten Boo-Hoo Meet & Greet Mrs. Proulx announced that she would like to host a meet & greet for kindergarten parents called Boo-Hoo Meet & Greet on August 29. She has limited budget but would like some refreshments and thought that it would be a good opportunity for the PTO to meet new parents. Judie will check with Big Cat Coffees about supplying k-cups & Keurig and will email Mrs. Proulx. Open Houses Judie will put together packet for PTO – include volunteer sign up, PTO Board, etc (checking last year) to send home the first day of school (8/28) and to have at the PTO table during the open houses. Judie will be at the PTO table for the Union Sanborn open house (scheduled for 9/6); Bridget will man the table at the Southwick open house (scheduled for 9/5); Leigh-Anne and Cindy will switch off at both Union and Southwick. Next Meeting Since the Union open house will be on 9/6, the next PTO meeting will be Thursday, September 13th at 6:30 in the Southwick Media Center. Meeting adjourned at 7:45pm.
