All parents of Union Sanborn and Southwick School students are members of the PTO, and are encouraged to attend. Membership in the USS/SS PTO is free.

April 4, 2013 PTO Minutes

Union Sanborn/Southwick School PTO Meeting Minutes Thursday, April 4, 2013 5:30pm Southwick Media Room In attendance: Leigh Anne Phelps, Cindy Cilley, Renee O’Brien, Mr. Hines, Ms. Proulx, Janet Wisler, Stephanie Dehner, Cindy Bouchard, Rick Honer, Sheri Young, and Judie Milner. Leigh-Anne called the meeting to order at 5:30. Minutes Janet Wisler moved to approve the minutes of the March 7, 2013 meeting, Mr. Hines seconded. Motion carried. Treasurer’s Report Cindy Cilley reviewed the Treasurer’s report. After unpaid bills the balance is $16,019.54. The PTO made $134 net from Skate Escape. Drama club has been paid, pizza party has been paid, and holiday shop has been paid. Judie motioned to approve the Treasurer’s report, Leigh Anne seconded. Motion carried. Dinner & Movie Cindy announced that we have about ½ of the people than last year signed up for dinner & movie scheduled for Friday April 5th. She is not sure if that’s because it’s later in the year, that there is something going on at the middle school and some other reason. Renee O’Brien, Liz Senacal, Nicole Champagne, Chris & Judie Milner, Rick Honer, and Matt Cilley are volunteering. Dance The group talked about how dances don’t work with this age group unless they have a specific dance, i.e., line dancing – discussed children crying in corners, feelings hurt, and that it is too much pressure at this age. If they are taught something specific, it goes much better. The group talked about maybe having the dance at the Pines to take the school pressure off. The Middle School had a lot of issues with dances which is why they hold it at the Pines. The group discussed maybe having it at the end of year carnival (Union) or as a cool tool reward with Mr. Bryant (Southwick). Mr. Hines will check with Mr. Bryant. The group decided to look into it more next year. Tanger Outlet Grant Item deferred to the next meeting. Book Exchange Leigh Anne hasn’t had a chance to contact Hall Memorial Library yet. Mr. Hines said that the school did a book exchange a few years ago and it went over very well with students. Stephanie commented that the most beneficial time to have the book fair would be in June for summer reading program. Leigh Anne expressed concern over the size of the book exchange and whether or not we can do this by the end of the school year. Rick wondered if maybe we should just do it in Southwick Library for this year. Mr. Hines will check with student council to see if they are willing to coordinate. Teachers Appreciation Week Judie will call Heidi Carey about helping with donations and putting together teacher’s gifts. Cindy has coffee mugs and some stuff from fall fundraiser and there will be stuff from spring fundraiser for teacher’s gifts. Teacher Appreciation is May 6-10. Rick volunteered to coordinate. Expected Schedule: Monday - flowers & candy Tuesday – coffee, tea & donuts Wednesday - pizza lunch (save some out for Teachers on lunch duty) Thursday – gift cards Friday - gifts Muffins for Moms Cindy Bouchard volunteered to coordinate this event. The menu will be muffins or egg sandwiches. Teachers usually volunteer to direct parking at Southwick; however, 2 volunteers needed to assist with the breakfast. Union will need 4 volunteers: 2 for parking and 2 for the breakfast. The breakfast will be held on May 2 at Southwick and 5/14 at Union. Spirit Wear Stephanie will bring the order form back to teachers now that she knows that the PTO makes some profit from the sales. Cindy announced that there are 12 orders from Union and she plans to put an order form out at movie night tomorrow. The PTO plans to offer spirit wear twice per year - once in spring and once in fall – offering long sleeve t-shirts in fall only. Once order is made the turnaround is expected to be about 2 weeks. Other The group discussed an email from skate escape asking that we send out apologies for running out of skates at the event. The group feels we covered that in the backpack express so no additional correspondence will be sent. Leigh Anne talked about how the event went, what we can do better and whether or not we should do it again. The PTO will discuss further while planning events next year. Cindy mentioned that we received another IRS letter. They thought our taxes were filed late on 11/30 but we sent on 10/24. Cindy talked to them and the $300 fine that was waived. The group discussed the next meeting and decided that 5:30pm was a good time. Judie will send out a reminder on 5/1 about the meeting. Next meeting will be May 2, 2013 at 5:30pm. Meeting adjourned at 6:33pm.
