All parents of Union Sanborn and Southwick School students are members of the PTO, and are encouraged to attend. Membership in the USS/SS PTO is free.

Union Sanborn/Southwick School PTO Meeting Minutes
Thursday, October 11, 2012
6:30 pm Southwick Media Room
In attendance: Leigh-Anne Phelps, Cindy Cilley, Renee O’Brien, Mr. Hines, Stephanie Dehner, Heidi Carey and Judie Milner.
Leigh Anne called the meeting to order at 6:39pm.
Minutes
Mr. Hines motioned to approve the minutes of September 13, 2012, Renee seconded. Motion carried.
Treasurer’s Report
Cindy reported that we spent money on the rock wall, gift cards and Krazy Kids deposit for fall fundraiser prizes and pumpkins for fall festival. Judie motioned to approve the treasurer’s report, Mr. Hines seconded. Motion carried.
Fall Fundraiser
Krazy Kids scheduled for 11/3 at 8-10 am. 53 children sold over 15 items and are eligible for the Krazy Kids party. Bus will leave school at around 7:15am. Ms Kitto’s class at Southwick and Ms Frank’s class at Union Sanborn were the winners of the most items sold. Cindy reported that $17,900 total was sold from fundraiser ($150 in donations) – she is not sure of % profit that the PTO will retain at this point.
Fall Festival
Heidi reported that she has 3 face painters; Benson’s Auto has donated bouncy slide; corn stalks from Daltons; Judie will pick up bouncy slide; Tilton fire truck. Cindy reported that games & prizes are all set. The group decided on an 11:30am drop off for baked goods. Judie is getting the hay. Heidi is picking up the pumpkins. The group decided that volunteers should be at Southwick at 10:30 for set up on Sunday, October 21. The school custodian will be here to let us in. Judie to mention in backpack express for folks to park in front & walk out back (no cars in loop due to fire emergency). Heidi will make signs for fall festival. The group decided to sell car magnets at bake sale as well.
Holiday Shoppe
Rachel Shannon volunteered at Sept 13 meeting to do the holiday shoppe on Dec 8th. Heidi will help out and train on how to do it. Need to get request in to company soon. Renee will email Rachel to make sure she still wishes to chair it and give her Heidi’s information.
Dance
Cindy will send email out to the Dumkas and Sarah Jenna to co-chair this event. Cindy suggested possibly using 3 out of the 6 raffle items that Sarah Jenna can get for movie night or holiday shoppe to spread it out a little.
Dad’s Breakfast
Mr. Hines reminded the group that the original dates of November 6 & 13 fell on voting day and the day after the long weekend. Mr. Hines suggested Friday Nov 16th for Southwick. The group discussed Friday Nov 2nd for Union. Cindy will email Ms. Proulx to verify this is a good day.
Other Business
Cindy is bringing the PTO’s taxes to H&R block next week.
Judie volunteered to email our upcoming events to Maria Pearson, school webmaster, to put on school calendar.
Cindy emailed DeeDee McCain and will follow up regarding the apparel for the school spirit committee. DeeDee was finding out what the minimum order is but said she could order for the teachers as well. Cindy announced that the embroidery charge is per item. Leigh Anne will follow up on this project and check with Body Covers and other vendors for prices. Ms. Dehner reported that the teachers are looking for embroidery not screening. Ms Dehner estimates approximately 20 orders from each school. Mr. Hines reminded the group that there are 2 different logos- one for each school. Cindy reported that she has digital logos. Ms. Dehner said that the order could possibly be an annual thing. The group decided if we choose screening, we may order more than needed for the teachers to sell to parents at events.
Cindy went to graphics place downtown and they are sending pricing to compare to what we pay now for student spirit shirts.
Judie will try to send out previous meeting minutes at least 2 weeks before the next meeting instead of the week of the meeting.
Renee said Ms Proulx approached her about getting more people involved at school. Ms Proulx suggested planting mums at noon time at the school. However, volunteers must be fingerprinted so this request would need to go through SAU as our volunteers do not need to be fingerprinted. If it were outside school hours, we could assist.
PBIS is requesting a list from us of Southwick parents who may wish to bake for “Are you smarter than a Southwicker” – Renee will provide the list.
Mr. Hines reported that PBIS could use their appropriated money from PTO – Cindy will drop it off.
Next Meeting
The next PTO meeting will be Thursday, November 1st at 6:30 in the Southwick Media Center.
