All parents of Union Sanborn and Southwick School students are members of the PTO, and are encouraged to attend. Membership in the USS/SS PTO is free.

November 1, 2012 Minutes

Union Sanborn/Southwick School PTO Meeting Minutes Thursday, November 1, 2012 6:30 pm Southwick Media Room In attendance: Leigh-Anne Phelps, Bridget Puffinburger, Cindy Cilley, DeeDee McCain, Mr. Hines, Mrs Proulx, Janet Wisler and Judie Milner. Leigh Anne called the meeting to order at 6:30pm. Minutes Leigh Anne motioned to approve the minutes of October 11, 2012, Bridget seconded. Motion carried. Treasurer’s Report Cindy reported that money was spent on the PBIS program, $394 on fall festival thus far, however, the custodial bill and paint & paper towel receipt needs to be paid. $198 was made on the bake sale and $36 on the car magnets. Mr. Hines motioned to approve the treasurer’s report, Janet Wisler seconded. Motion carried. Fall Fundraiser Cindy reported that the items should be in on 11/7. She will send out notice for fundraiser pick up following week. Taxes Cindy reported that the federal taxes were completed by H&R Block. Cindy will pick them up and file the state taxes. Fall Festival Several members have heard very positive feedback about the fall festival this year. Many liked the date change as they enjoyed going to church then coming to festival. It was a whole family time day. Many also commented that they liked the set up of the festival. However, a few comments were made that they were not able to go because it was moved to Sunday (from Saturday). Group decided to add a question about fall festival day preference on the annual PTO questionnaire. The group discussed limiting prize tickets – too many tickets were given out at games and prizes are limited. Cindy suggested having more adult volunteers so we can rotate volunteers so PTO board members have time to spend with their families. Holiday Craft Make & Take The holiday make & take will be held Thursday, 12/6, from 5:30-7pm at Union Sanborn. DeeDee reported that students are able to make holiday crafts for no charge to take home that night. Teachers volunteer to man the craft stations to assist the children. There are 12 craft stations. Santa comes in; Mr. Hines is photographer and takes pictures of children with Santa to take home at no cost. There is a bake sale table – need 2 volunteers at the table for the bake sale. In addition, there is a raffle of items that would be good for Christmas gifts. The raffle tickets cost $1/ticket or $5/6 tickets. $200 is budgeted for holiday fair. The group discussed possible raffle items. As this is the final year DeeDee is part of the USS/SS PTO, she stated that she will pass on her notes on to the next person who will chair this event next year. Holiday Shoppe Holiday express is the name of the company we use. Janet Wisler and Mrs Proulx volunteered to co-chair the Holiday Shoppe this year. Bridget will call Rachel Shannon to see if she’s still interested in co-chairing. Heidi will train on how to do it. Pancake Breakfast Judie reported that the Applebee’s pancake breakfast is set up for 1/19/13. She will send out flyers after winter vacation. Judie will also pass on her notes to the person who will be chairing the event for next year. Tshirts DeeDee reported that screen printing is currently done through Roberta of Corporate Images in Bedford. DeeDee brought in the catalogs to pass on. For the teacher spirit team, Corporate Images will embroider item individually as needed for $5 per item. No preorder is required and piece meal basis is ok. DeeDee orders screen printed t-shirts once a year in the Fall for kindergarteners and 3rd graders. Parents can buy new replacement shirts for $5/each. DeeDee reported that fleece vests were popular the last time the teachers had a spirit team. Other Business Breakfast with Dad – Cindy reported that she is not sure who is volunteering for Union Sanborn which is tomorrow. Cindy will check with Renee tonight. Southwick notices went home this week for the 16th. Volunteers already signed up for Southwick. Mrs Proulx reported that teachers will be coming to the monthly PTO meetings. Mrs Proulx also reported that the Artist in Residence grant was not received by Union this year. They are still planning to do an Artist in Residnece but are scaling it down to use the PTO allotment and $1500 school has if that is OK with the PTO. The group agreed. The plan is to expand out the garden by fence. Mrs Proulx asked the PTO to pay the vendor directly for our portion. Sue Collins had just under $1000 in box tops submitted this year for Union. We have not heard from the Southwick volunteer on their box top progress yet. Next Meeting The next PTO meeting will be Thursday, January 3rd at 6:30 in the Southwick Media Center. Meeting adjourned at 7:44 pm.
